How to Share Your Time Sheets

This guide is for Individual account users.

Team account members donโ€™t need to share their timesheetsโ€” any time they track is automatically synced and visible to the account owner and managers.

In this video, I walk you through how to share and view your timesheet after tracking your hours and making entries.

You can easily export your timesheet as an Excel file and customize the columns you want to include.

Additionally, I demonstrate how to generate reports from specific projects and time periods, making it easier to manage your entries.

I also recommend discussing the option of a team account with your employer for a more streamlined sharing process.

0:00 All right, welcome back to Time Squared. Uh, let's talk about how we're going to share our timesheet, or just get a view of our timesheet.

0:12 So, you've tracked your times, you've punched in, you've added manual entries, added flat fee entries, and now you want to do something with it.

0:20 So, what you would do is you'd go into the timesheets tab. From here, you can basically see your timesheet based on whatever period you want to, you want to see.

0:31 And if you want to send it, you click on this three dot button up here, and here you can do share xlsx.

0:37 This xlsx stands for Excel. So, it's the Excel file format. Uh, this, you can straight up share, or you can open it on your own phone if you have Google Sheets or Excel, uh, and it'll look like something like this.

0:53 So, I have the times, it'll take the stuff you were seeing before in the app, put it in an Excel file, and prepare it for you.

1:00 Here, I had a bunch of, uh, entries with plot, uh, projects and finds, brought it here, the breaks I had, all the, all the same stuff.

1:09 Same information, if I had notes, it would have been included there, and it's ready for me to send that. So, if I go here again, share, you can just share it, send it out using my email.

1:20 Um, whatever method you want to use, email, a Google Drive, or if you want to adjust the columns that would show up in that export, you can select here, say, alright, you know what, actually, uh, I only want the length in hours and minutes, small decimals, I don't use these other fields, uh, let's just

1:47 , you know, include these things. And then when you do another report, it'll take your settings if it can. You can also go into settings in the export section, make adjustments.

2:00 Another way to create a, uh, make adjustments to what you're exporting. Another way to generate an export and a timesheet or report is to do it from the projects tab.

2:13 So here in timesheets, it's not really filtered by anything, it's everything within a time period. If you go into the projects tab, you can select specific projects.

2:24 And you can say, alright, You know what, for this project one, I want to do a report by this period.

2:34 If you have multiple periods, let's say, let me just add an entry that doesn't fit into this first week. Let's say I do here.

2:45 Oh, actually, it needs to be before the 5th. So let's say I do an entry here. That'll provide a summary of, okay, the pay period of 4th to 17th, we got this total for the pay period of July 21st to August 3rd, this amount.

3:06 Now you can either dig deeper and make a report that only includes this time period, or if you want to include multiple time periods, let's say I want to add a flat fee item just to do that.

3:20 Let's demonstrate, uhm, install HVAC for $500, and I did this, say, in June. And you want to create a report that includes these two weeks.

3:36 You can use the checkbox, include these, and then make your report. So it'll be similar to what you saw from the timesheet tab, except that it'll just be these periods that I selected.

3:46 And that's basically how to make reports. One additional thing to note is there is an alternative to, you know, every week, every two weeks, creating this and stuff and sending this out, and it's to use a team account.

4:04 So right now, this is an individual account. But if you ask your employer to create a team account, the team account basically lets the manager or the owner see everybody's time in the company without the employee having to, you know, share their timesheet every week, every two weeks.

4:28 So it's a much more convenient way for employees to share their time with their manager. The other benefit to that is only the business owner would need to pay a subscription fee.

4:40 The employees don't need to deal with ads or pay subscriptions, things like that. Uhm, we have other articles on how team accounts work and things like that, so if you're interested, you can visit those, those articles.
